These are case files for claims made to the government for reimbursement of property taken by Union soldiers during the Civil War. Claimants were required to provide with their claim two witnesses who had known them for at least 5 years. Often times these witnesses were former slaves. As part of the claim, these witnesses, as well as the claimant, were often asked a series of 80 questions that provided information about themselves, their lives, and their relationship to the claimant. This database is for the disallowed claims, and is currently live on the site in the U.S. Southern Claims Commission, Disallowed and Barred Claims, 1871-1880 database.

These documents are organized into case files. At the beginning of each case file is a folder with the name of the claimant. Because of the varied and complex nature of the documents contained within the case file, when this project was originally indexed, only the name of the claimant on the folder was keyed. We are now going back and keying the names of the witnesses.

Folders should be marked as a "Folder" form type, and nothing should be keyed from this image. There can be several various papers within a case file, or there can only be a couple of papers.

The first page of an application for a testimony should be marked as "Application For Testimony Cover" form type. The name of the claimant should be keyed as well as any residence information that is given. This person should be identified as a Claimant in the Claimant or Witness field.

If a page that contains a certification of the testimonies given, it should be marked as the "Oath of Testimony" form type. All names of claimants and witnesses should be keyed with any aliases or residence information given. The city and state as well as the date of the testimony should also be keyed for each person. This is different from the date of the certificate. Do not key the date of the certificate as the testimony date. All names should be designated as either a claimant or a witness in the Claimant or Witness field.

Each image that contains the beginning of a testimony should be marked as a "Testimony First Page" form type. The name of the person giving the testimony should be keyed. All other fields should be filled out with information of that person. The name should be designated as either a claimant or a witness in the Claimant or Witness field. Occasionally the end of one testimony will appear on the same image as the beginning of the next testimony. Images like this should still be classified as "Testimony First Page," but the name from the end of first testimony should not be keyed.

Any other image that contains the name of a witness it should be marked as "Witness Names Other." Only the names of witnesses should be keyed except on the above specified form types. Names of claimants should not be keyed on the "Witness Names Other" form type. Names of clerks or other state officials should not be keyed on any form type. Project Instructions
These documents are organized into case files. At the beginning of each case file is a folder with the name of the claimant. Because of the varied and complex nature of the documents contained within the case file, when this project was originally indexed, only the name of the claimant on the folder was keyed. We are now going back and keying the names of the witnesses.

Each case file is in a folder – there could be numerous papers or only a few papers in the folder. Since we are only keying from documents that have the name of the claimant or names of the witnesses there could be many image sets where you are marking the records as Cover pages. There are five form types, Folder, Application for Testimony Cover, Oath of Testimony, Testimony First Page, and Witness Names Other.

Names of claimants should not be keyed on the "Witness Names Other" form type. Names of clerks or other state officials should not be keyed on any form type. All names need to be designated as either a claimant or a witness – the Claimant or Witness field should never be empty.
