Project Overview

Project Instructions The images in this collection are from pre-printed cards and are typically easy to read, though handwriting may vary per card.

As you will be keying multiple dates, pay close attention to where each date should be keyed according to the instructions.

It is important to enter Y or N in the Social Security field; do not key the social security number itself.

Mark an image as a "Card" form type if the record has a name to key with information.

Card Keying Instructions

Social Security

Key "Y" if there is a Social Security number on the image. Key "N" if there is NOT a Social Security number on the image. The Social Security number can be found near the words "Social Security No.," "S.S.," or "S.S. No." and is in 000-00-0000 format. The Social Security number is present in various locations and sometimes multiple instances on an image.

NOTE: DO NOT KEY THE SOCIAL SECURITY NUMBER. ONLY KEY "Y" OR "N" DEPENDING ON WHETHER OR NOT A SOCIAL SECURITY NUMBER IS PRESENT ON THE IMAGE.

Prefix

Key any titles before the given name, such as "Dr," "Mr," or "Mrs," of the primary person as seen on the record using the dictionary provided for assistance. Only prefix values should be keyed into the prefix field.

Given

Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Key initials with a space between them. Name can be found near the top of the image or near the words "Name" or "Name in Full."

Surname

Key the surname as seen on the record using the dictionary provided for assistance. Name may be found near the top of the image or near the words "Name" or "Name in Full."

Suffix

Key all titles, such as "Jr" or "III", following the surname of the primary person as seen on the record using the dictionary provided for assistance.

Occupation

Key the occupation as seen on the record from the line labeled "Occupation," "Present Occupation," "Occupation when Pensioned," or "Present Occupation with Railway." When there are multiple occupations, key the most recent occupation listed.

Birth Month

Key the month as an abbreviation from the birth date using the dictionary provided for assistance. Birth date is typically in month/day/year format and may be found near the words "Born" or "Date of Birth."

Birth Day

Key the day in its numerical form from the birth date. Birth date is typically in month/day/year format and may be found near the words "Born" or "Date of Birth."

Birth Year

Key the two or four digit year from the birth date. Birth date is typically in month/day/year format and may be found near the words "Born" or "Date of Birth."

Birth Place

Key the birth place as seen on the record using the dictionary provided for assistance. Separate any geographical locations with a comma (example: Chicago, Illinois). Birth place may be found near the words "Place of Birth."

Hire Month

Key the month as an abbreviation from the hire date using the dictionary provided for assistance. The hire date is typically in month/day/year format and can be found in the first entry in the "Dates of Employment" column or by the phrase "Continuous service dates from last entry into service on," or "First began work for the Company." Beside the birth date this should be the earliest date available on the image.

Hire Day

Key the day in its numerical form from the hire date. The hire date is typically in month/day/year format and can be found in the first entry in the "Dates of Employment" column or by the phrase "Continuous service dates from last entry into service on," or "First began work for the Company." Beside the birth date this should be the earliest date available on the image.

Hire Year

Key the two or four digit year from the hire date. The hire date is typically in month/day/year format and can be found in the first entry in the "Dates of Employment" column or by the phrase "Continuous service dates from last entry into service on," or "First began work for the Company." Beside the birth date this should be the earliest date available on the image.

Residence or Work Month

Key the month as an abbreviation from the residence or work date using the dictionary provided for assistance. Residence or work date is typically in month/day/year format and can be found near the words "Record as of," "Date of Making this Record," "Date Signed," "Date Pension was Allowed," or "Pension Granted." This is often the latest date on the image.

Residence or Work Day

Key the day in its numerical form from the residence or work date. Residence or work date is typically in month/day/year format and can be found near the words "Record as of," "Date of Making this Record," "Date Signed," "Date Pension was Allowed," or "Pension Granted." This is often the latest date on the image.

Residence or Work Year

Key the two or four digit year from the residence or work date. Residence or work date is typically in month/day/year format and can be found near the words "Record as of," "Date of Making this Record," "Date Signed," "Date Pension was Allowed," or "Pension Granted." This is often the latest date on the image.

Residence or Work Place

Key the residence or work place as seen on the record using the dictionary provided for assistance. Separate any geographical locations with a comma (example: Chicago, Illinois). Do not key the zip code numbers or the word "Shop." Residence or work place may be found near the words "Address," "Where employed," "Address when Pensioned," "Where now employed by Railway," "Where now employed by Company," or something similar.

Age

Key the age as seen at the time the record was recorded. If present, age may be found next to the word "Age" or "Aged."

Valid ages include numeric digits between "0" and "120" or certain acceptable fractions for ages displayed in months only. If an age includes years, months, and/or days key only the years. For example, "10 years, 7 months" would be keyed as "10". If an age includes both a year and a fraction, key only the year. For example, "3 3/12" would be keyed as "3". If an age appears only in months, key age as a fraction. For example, "7 Months" would be keyed as "7/12" and "18 Months" would be keyed as "18/12". If an age is expressed in weeks, days, or hours, "0" (zero) should be keyed as the age. For example, "3 weeks" would be keyed as "0" and "8 weeks" would be keyed as "0".

Gender

Key the sex or gender as seen on the record using the dictionary provided for assistance. Gender may be found on the line labeled "Sex" or "Gender."

Race

Key the race as seen on the record. Race may be designated or marked on the line labeled "Race," "Color," "Race or Minority Group," or "Race or Ethnic Group."

Death Month

Key the month as an abbreviation from the death date using the dictionary provided for assistance. The death date is typically in month/day/year format and can be found near the words "Died," "Dead," or "Deceased." The death date appears in various written-in locations on the image.

Death Day

Key the day in its numerical form from the death date. The death date is typically in month/day/year format and can be found near the words "Died," "Dead," or "Deceased." The death date appears in various written-in locations on the image.

Death Year

Key the two or four digit year from the death date. The death date is typically in month/day/year format and can be found near the words "Died," "Dead," or "Deceased." The death date appears in various written-in locations on the image.

Mother Given

Key the first name or initial and any middle names of the mother of the primary person as seen on the record using the dictionary provided for assistance. Key initials with a space between them. Mother name can be found near the words "Mother's Full Name Before Marriage" or something similar.

Mother Surname

Key the surname of the mother of the primary person as seen on the record using the dictionary provided for assistance. Mother name can be found near the words "Mother's Full Name Before Marriage" or something similar.
