Event Day

Key the day from the event date as seen on the record. Event date may be found in the heading of a letter, typically under the name of the official the letter is from and to the right of the place the letter was sent from. Copy this date to all the individuals found in the left margin of the bound book. If there are no names in the margin and names are being pulled from the letter itself, copy the event date to these individuals.If there is no date in the letter, but a date appears under a name or in the margin, key that date. If there is no date present, you may leave this field blank.

Key the month in its three-letter abbreviation from the event date using the dictionary provided for assistance. If the month appears as a number, key as seen. Event date may be found in the heading of a letter, typically under the name of the official the letter is from and to the right of the place the letter was sent from. Only prefix values should be keyed into the prefix field, DO NOT key military ranks.Key the names found in the margins. When there are no names in the margins, but there are names in the body of the letter, key these names. Do not key names in the body of the letter if there are names in the margins. Be carful not to key ship names into this field. Do not key signatures in the letters or the authors of the letters.

Initials should be keyed with a space between them and without entering periods.Key the names found in the margins. Key any Alias Surname which appears. Occasionally an alternate name may be recorded for a given individual. This name may be denoted by parentheses, quotation marks, or may be preceded by the abbreviation "for" or the words "nee" or "formerly".
