Project Instructions The records in this collection are criminal registers from Fife, Scotland. Registers typically have one record per image, and sometimes contain photographs. Registers with incarceration years in 1931 and later should NOT be keyed, but should be classified as the Privacy formtype. Some registers will have pieces of paper covering parts of the register. These registers should still be classified as the Record formtype, and all available fields should be keyed.

What Names Should I Key? Key every name that has a vital date that can also be keyed. A vital date is any Birth, Marriage or Death date. Also key the spouse of these persons where they appear and any other information that can be gleaned from the fields made available.

Record Keying Instructions

Given

Key the first name or initial and any middle names of the primary person as seen on the record using the dictionary provided for assistance. Initials may be separated with periods, if periods are found on the image, but initials should otherwise be separated with a space. Names appear following the word "Name," and typically appear in given-surname format.

Surname

Key the surname as seen on the record using the dictionary provided for assistance. Names appear following the word "Name," and typically appear in given-surname format.

Suffix

Key all titles, such as "Jr" or "III," following the surname of the primary person as seen on the record using the dictionary provided for assistance. Names appear following the word "Name."

Alias Given

Occasionally an alternate given name may be recorded for an individual. This name may be denoted by parentheses or quotation marks, or may be preceded by the keywords "@," "Known as," or something similar. Key the first name or initial and any middle names of the alias of the primary person as seen on the record using the dictionary provided for assistance. Initials may be separated with periods, if periods are found on the image, but initials should otherwise be separated with a space.

Alias Surname

Occasionally an alternate surname may be recorded for an individual. This name may be denoted by parentheses or quotation marks, or may be preceded by the keywords "@," "Known as," or something similar. Key the alias surname as seen on the record using the dictionary provided for assistance.

Alias Given 2

Occasionally a second alternate given name may be recorded for an individual. This name may be denoted by parentheses or quotation marks, or may be preceded by the keywords "@," "Known as," or something similar. Key the first name or initial and any middle names of the alias of the primary person as seen on the record using the dictionary provided for assistance. Initials may be separated with periods, if periods are found on the image, but initials should otherwise be separated with a space.

Alias Surname 2

Occasionally a second alternate surname may be recorded for an individual. This name may be denoted by parentheses or quotation marks, or may be preceded by the keywords "@," "Known as," or something similar. Key the alias surname as seen on the record using the dictionary provided for assistance.

Incarceration Year

Key the incarceration year in its numerical form. The incarceration year is found following the words "Age in [Incarceration Year]." If the incarceration year is 1931 or later, the image should be classified as a Privacy form type and no fields should be keyed.

Incarceration Age

Key the age at the time the record was recorded. If present, age may be found next to the word "Age in [Incarceration Year] [Incarceration Age]."

Birth Day

Key the day in its numerical form from the birth date. Birth date is not expected to appear frequently. If the birth date is present, it will follow the Incarceration Age and appear in day-month-year format.

Birth Month

Key the month as an abbreviation from the birth date using the dictionary provided for assistance. Birth date is not expected to appear frequently. If the birth date is present, it will follow the Incarceration Age and appear in day-month-year format.

Birth Year

Key the year in its numerical form from the birth date. Birth date is not expected to appear frequently. If the birth date is present, it will follow the Incarceration Age and appear in day-month-year format.

Birthplace

Key the birthplace as seen on the record. The birthplace may include any combination of city, county, state, or country names. The birthplace appears following the word "Nativity."

Conviction Day

Key the day in its numerical form from the conviction date. The conviction date appears in the column labeled "Date of Conviction." Dates appear in day-month-year format. If more than one conviction date appears, the LAST conviction date should be keyed. Please see image examples for further clarification.

Conviction Month

Key the month as an abbreviation from the conviction date using the dictionary provided for assistance. The conviction date appears in the column labeled "Date of Conviction." Dates appear in day-month-year format. If more than one conviction date appears, the LAST conviction date should be keyed. Please see image examples for further clarification.

Conviction Year

Key the year in its numerical form from the conviction date. The conviction date appears in the column labeled "Date of Conviction." Dates appear in day-month-year format. Conviction Place

Key the conviction place as seen on the record. The conviction place may include any combination of city, county, state, or country names. The conviction place appears in the column labeled "Where and how Convicted - Place." If more than one conviction place appears, the LAST conviction place should be keyed. Please see image examples for further clarification.

Choose 'Privacy' for any images where the Incarceration Year is 1931 or later. If no incarceration year is available, use the LATEST conviction date that appears on an image to determine if the image should be classified as a 'Privacy' form type.

Use the “Cover page, Section header, etc” type for images that don’t contain any data, but might be interesting to look at because they provide some type of context for the image set. For instance, historical notes, affidavits, and so forth.

An Index usually contains names (often in alphabetical order) with a corresponding page number so as to find the individual listed. Some indexes have alphabetical tabs on the right or left margin.

Image with no data

Use the “Image with no data” type for images that don’t contain any data or any useful context that might be interesting for someone to look at. For instance, an image containing only the blank background or an image with a microfilm target on it.
