Extra Keying Helps
Common Keying Errors Found by Reviewers
I have reviewed a number of sets and found a major problem in people not keying all the fields like place of birth, age and dates. Please take more care when keying. Most records have an age and place of Birth, it is just a matter of looking at the whole record to find them. The typewritten records generally do not seem to have a Place of Birth.
Also people have been keying Transportation in the records for the 1900s. Transportation stopped in the middle of the 19th Century.

Q: What should I do if the offender has multiple aliases? Do I just put the first one in, or do I do multiple entries?
- A: List only the first alias. -- Wiedwoman 19:16, 13 June 2013 (UTC)
Q: Should a Sentence with a Fine be classified as Imprisonment/servitude.
- A: When there are two options given in the sentence column, unless they are the same, key the sentence as other. --Wiedwoman 18:23, 26 October 2013 (UTC)
Q: So, if two options are listed, 'imprisonment' or 'fine, how do we know which was effected? Is there a way to know that the fine was paid, and the imprisonment was not carried out?
- A: It doesn't matter if a fine is paid or not. When there are two options given in the sentence column, unless they are the same, key the sentence as other. --Wiedwoman 18:23, 26 October 2013 (UTC)
Q: When a book has date & place of committal has change of place from previous entry without a date should the date from the previous entry/entries be assumed and entered?
- A: No, only copy down the information between records if there are ditto marks.
Q: Is it possible to add Irish Counties, Sligo, Tyrone etc to the dictionary of birth places?
- A: Although it is possible to add entries to the dictionary after the project has been published for keying it is not an easy process. We are taking extra care to ensure that pertinent entries are added during the testing phase.
Q: I am keying from pages that look like example 2, sometimes there is 1 place recorded and sometimes 2, how do I know which if any is the place of birth, what should I key?
A: I've been keying the top location for birthplace.
Q: I have a dataset where the year is always shown as "05" - should I simply key that or "1905" (which I think is what the dates all are)?
Q: I have several records where there are two words used to describe the place of birth, e.g. Swinton and Rotherham - should I key both or only one? (Both are in the dictionary - I have seen the answer above)
Q: I am trying to upload files showing examples of sentences. I've tried the 'upload file' link at the left, but my files upload without any link to the Q&A board (this one) that I'm trying to ask about. Any help on how to do this?
- A: You have to do the following for it to show in the wiki. Go to edit the wiki and you will see the line I inserted. >>
Q: See examples of 'sentence' entries above - how are we supposed to key these? On some I can make out '7 dys' or something similar (‘dp’), but then most have 'HL' or 'L'. In addition, some have what looks like 'or' and then some sort of 2-part number separated by a slash. Most are really hard to make out. For the entries that look like ‘dp’ instead of ‘dys’, am I correct in typing ‘dp’ as I see it, and not inferring that it should be ‘dys’?
- A: When there are two options given in the sentence column, unless they are the same, key the sentence as other. ----Wiedwoman 14:57, 24 October 2013 (UTC)

I suggest that the Month drop-down menu should have the facility to select entries by number, i.e. if you key in the letter A you are shown 1 Apr 2 Aug and you then key the number to select, as is the case on most WAP projects. I realise that this is only a little bit quicker than keying the three-letter abbreviation, but some of us are used to automatically typing them this way and it slows us down not having it! --Katerimmer 21:54, 11 June 2013 (UTC)
And the same applies to the Sentence field, but it would take much longer to type these in full so it is even more annoying as in the current situation, there is really no alternative to breaking off from typing to click on the selection each time this field changes. --Katerimmer 12:53, 12 June 2013 (UTC)
You should now be able to select by number for month and sentence on image sets you download moving forward. --LizzyPetersen 15:47, 13 June 2013
