Feel free to add to or edit information in this discussion tab as necessary. Please take time to become familiar with the World Archives Keying Standards and be sure to read all instructions on the main project page. (Please note that in case of a discrepancy, project level instructions always trump general keying standards.)

Extra Keying Helps

Common Keying Errors Found by Reviewers

I have reviewed a number of photo sets. Many -- dare I say, most -- have been coming through with few of the photos actually keyed. I do not know if keyers are intentionally skipping records, but I would recommend a greater attention to detail when keying record sets, as well as individual fields, to ensure fields are completely keyed. Thank you. OHaraHaworth68, 25 November 2016

Titles should not be keyed in capitals. The instructions state that we are to normalise capitals found in titles.

The captions, however, should be keyed as seen. The capitalisation we key should match the capitalisation found on the image.

The entire caption is not being typed. The caption is the entire area highlighted in the lighter pink color. This can sometimes involve a lot of typing. Also some information included in this field will be repeated into other fields. Best example is sample image #7. Though the arrow is pointing near the bottom of the typing, it is indicating the entire lighter pink highlighted area starting at Intermittent and ending in 37.

Please use the drop down menu for the Photo Month. Most common mistake is "Sept".

Some keyers are not refering to the sample images for further clarification about how to key this project:

I am having to reject some images because only part of the caption is being keyed.

Questions and Answers

If you have a keying question that is not answered on the project page or in any of the information above, click “EDIT” and ask it here. (If you click on Rich Editor you won't have to worry about formatting your entry.) Then click “WATCH” at the top right on this page and you will be notified via email when an update has been made.

Q: There is a discrepancy in how to enter the text. In the instructions it says "Note: If only one block of text appears, key as a title. " but in the last sample image it says "If only one block of text appears, key as caption, not title." Which do we follow?

A: Sorry - I didn't notice that the text didn't show up. The example image has been edited to remove that instruction... If there is only one line key it as the Title. Annafechter (talk) 07:00, 19 November 2016 (MST)

Q: For many images, both the Fox Photos and Hulton Collection marks are clearly present on the back of the photo. One image even had Fox, Hulton, and Keystone printed on it. In the case of more than one collection name, which should be entered in the Collection field? Thanks.

A: Please key all collections that appear, separated by a comma. Thank you! Gigivs (talk) 10:11, 14 December 2016 (MST)

Q: In the Project Instructions, under Title, it states to Key the title as seen on the image. However, in the discussion page under "Common Keying Errors Found by Reviewers", it states that "Titles should not be keyed in capitals. The instructions state that we are to normalize capitals found in titles." Which should we follow?

A: Please key all of the words as seen on the image (i.e. don't correct spelling or punctuation, or lengthen abbreviations), but please continue to normalcase capital letters found in titles and captions. Thank you! Gigivs (talk) 11:33, 17 January 2017 (MST)

Q: Are we meant to key only those with personal names, or all of them? I've classed those not including names as Cover Page, but I'm increasingly less confident this is right, and I can't find clear guidance on it anywhere. Avarielwings (talk) 10:18, 12 March 2017 (MDT)

My suggestion is that if there are any further parts of this project, the Caption field is not included for keying. Researchers should be able to read the captions for themselves by viewing the image, and it is a lot of work to key and review the captions. --Katerimmer (talk) 12:47, 23 November 2016 (MST)
