Q: If the primary person was married more than once, which spouse should we key? --Katerimmer 07:35, 22 May 2014 (UTC)
- A: If there are multiple spouses, the second spouse may be keyed on a separate record. Do not key more than two spouses for an individual. (In this case, the primary person will need to be keyed twice.)Annafechter 17:04, 22 May 2014 (UTC)
1) Does the address have to be at the end and followed by the word address, home, etc? For instance, Brent, Francis Spencer, solicitor, Dunedin. In this case would the residence be Dunedin?
- A: Yes - we do only want the residence keyed from after the word "Address". The location of employment is not always where they lived.Annafechter 17:04, 22 May 2014 (UTC)c
2)The instructions say son of and daughter of are not sufficient to determine relationship, yet all the keying examples state son of or daughter of and then the following names are keyed as the mother and father. I am not sure I understand what would be an example where this would not be the case. Sorry, but can this be explained further?
- A: I can see how this might be confusing. This information from the project instructions is intended to let you know that you can't just skim the biography and look for son of - sometimes this is referring to the parent and sometimes the parent's parents. You need to read the biography in order to determine who the individual's parents and their spouses parents are.Annafechter 17:04, 22 May 2014 (UTC)
3)All the keying examples, once again, only show the terms born, married, etc. before the appropriate locations, names, etc. I am seeing biographies that have only a b or m in them and want to make sure I can key the following info as birth info, married info, etc.
- A: Although b and m are not mentioned in the instructions yes, they are used to indicate birth and marriage information.Annafechter 17:04, 22 May 2014 (UTC)
Q. Further to 1) above - there are a number of entries that don't actually have the word "Address" at the end of the entry but quite clearly have the persons address immediately after their name (ie shown as Street and town)and before their place and date of birth etc. Can we include this as Residence Place?
- A: No, the address should only be keyed if given after the word "Address".
Q: When keying the spouse's name, often the record reads as, for example: "m., 1894, Kate, d. of Edward Geo Griffith;" Can we assume that Kate's surname was Griffith? Or does it actually have to be stated explicitly, i.e., "m., 1894, Kate Griffith, d. of...."?
- A: Yes - you can assume the child's name from the parent's surname.
Q: What about parents where the first name isn't given? I have seen "s. of Rev. Canon Cotterill" and "s. of Judge Broad". For the first, it's clearly a title, so I just entered the surname and no given name. The second, in theory, could be a given name (Judge), but in 19th c. New Zealand was most likely a title. In cases where there's no clear given name for a parent, should we just key the supplied surname?
- A: Yes, if you cannot determine if there is a given name(s) leave the field empty.
Q: What about birthdates that are given as "about 1864"? Should we just key 1864? When I entered "abt 1864" in the birthdate field, it showed as an invalid value.
- A: Only key the date/year. When the researcher sees the record they will see the "abt".
Q: Do you only want suffixes like Jr, Sr, III, etc, and not things like, JP, MA, FRS and such?
- A: Defaulting to the Keying Standards, "If you encounter names such as William Bradley, Esq should Esq be entered as a suffix? Yes, entries such as Esq, MD, JP, Sr, and III are all in the dictionary (drop down menu for the suffix field) and they should be entered as seen on the record."
Q: Why is "Auckland" not a valid value for the Birth Place column? I have to press F7 each time I enter it there.
- A: I am not sure - we encountered this in testing. The addition may not have processed in time.
Q: I have an entry the gives the ful name as the heading of the entry: "BOYLE, Alexander David" and then the body of the entry starts, "Commander, Royal Navy (retired)". Commander is a valid value for the Prefix field but not for the Rank field.But isn't that a rank?
Q: I feel like I've asked this before, so sorry, but what if an entry begins on one of our two pages and continues to the second. We know who it is for the truncated entry on page 2, but should we copy over all of that detail from the first page, or just key the new information that appears on page 2?
