Common Keying Errors Found by Reviewers


Do not key the business names which appear after a persons name. Only key the business names if they appear first.

When keying Section Headers, make a new section for every town and/or city listed. Ex 1: "Mataikuna, see Whakataki" should be keyed as "Mataikuna".

      • If this is true, then the Project Instructions examples need to be corrected. The example specifically calls out that the Matakana is the city, not Matakana, Aukland. And instructions to key in the Ex 1. That is not mentioned at all.***
    • In reference to your instruction to key in "Matakana, Auckland" not "Matakana"; the "Keying Example #2" identifies "Wakefield" not "Wakefield, Nelson" as the city.

Keying business names that have given names in them:

1. If the business name is listed as "Snell James & William", key as "James and William Snell" in the business field. Than in the next two entries key "Snell James" and "Snell William" in the surname and given name fields.

2: If the business name is listed as "Taylor Bros (Alex)", key as "Taylor Bros" in the business field. Than in the next entry key "Taylor Alex" in the surname and given name fields.

Do not key wild cards (#,?,etc) in any of the fields. Mark the field illegible. Even though a couple of the letters can be seen, the whole word is still unknown. Never guess any of the records!

Q: If there is a business name listed after an entry (in my example the entry reads "Turner Chas Harcourt, agt Blackball Coal Co"), do we key the business as a seperate entry as I believe we did with previous NZ directory projects or do we skip it as suggested in the keying example?

A: On this project we are not keying business names which appear after the person's name. Only key the business names if they appear first.

Q: If there is an entry that reads "Murdoch Bros", do we key Surname as Murdoch and Given as Bros? Or as a business name as "Murdoch Bros". There's no names following Murdoch Bros.

A: Key "Murdoch Bros" in as a business name. Leave the Surname and Given name fields blank.

Q: If there is an entry that reads "Rudlen, John, jun, farmer", is the "jun" suffix for junior, so enter in suffix as "jun"?

A: Enter "Jun" in the Suffix field. Always key as seen.
