Extra Keying Helps
Common Keying Errors Found by Reviewers
Things to be aware of: There is very little data validation taking place. Whatever you type in most of the fields will be considered acceptable by the tool. Watch for typos.
Treat each line as a separate unit. Do not attempt to combine information from multiple lines to make a single record. Do not pull parent or spouse from another line.
Do not attempt to change the primary person.
Questions and Answers
If you have a keying question that is not answered on the project page or in any of the information above, click “EDIT” and ask it here. If you key -- and 4 tildes (~) at the end of the question, your name and date will be shown. (If you click on Rich Editor you won't have to worry about formatting your entry.) Then click “WATCH” at the top right on this page and you will be notified via email when an update has been made.
Q: When multiple spouses are showing, do we only enter the most current spouse?
example: Jane Doe widow of John Doe & formerly wife of John Johnson, d. 25 July 1809, ae 81
would the keyer enter only the John Doe as spouse information? , since it matches the Doe family name being worked on this page? (therefore not documenting the former spouse John Johnson)?
- A: Yes, key only the current spouse. Do not make a second line.--Paulmd199 20:53, 13 July 2012 (UTC)
Q: If given a double year for birth or death dates to indicate adjusted calendars, is it safe to assume we should key the later year?
- A: Yes, key the latter year for these too. --Paulmd199 21:18, 12 July 2012 (UTC)
Q1: When the entry or entries starting a new image set is clearly a child entry (the image set does not start with the parent entry) should we key what we can and mark the parent given names as blank or should we use some other method?
- A: Key what you can according to the information on the record. If no parents names are present leave the parent name fields empty and the relationship would be entered as Self.
Q2: The first image I have shows "orphan" children, in that their parents would be on the previous image. Then the first male parent shown does not have birth details as they would also be on the previous page. Advice please.
A: This sounds really similar to the question above - Key what you can according to the information on the record. If no parents names are present leave the parent name fields empty and the relationship would be entered as Self.
- A for Both: We are not keying the parents name for all those whose relationship is "child." --Paulmd199 21:18, 12 July 2012 (UTC)
Q: If the number of children is given as "9", for example, (not "5 of 9") but the list shows only 5 names plus a line that says "4 sons died nameless immediately after birth" or words to that effect, do we key "9" or "5" as the number of children? (I assume we do not key 4 records for the dead children.)--Collier smith 16:46, 12 July 2012 (UTC)
- A: The number of children would still be 9. --Paulmd199 21:18, 12 July 2012 (UTC)
Q: As best I can understand the instructions, a Spouse does not get (her) own record (i.e. her own line), but is keyed only as a Spouse. Therefore, there is no Alias field for her. However, there is an instruction to key maiden names in the Alias field. So which instruction governs this? Should we key a new record for spouses when the spouse's maiden name is listed, or not? If not, the maiden name info is lost.--Collier smith 17:10, 12 July 2012 (UTC)
- A: Do not key as separate line for the spouse. Enter the spouse maiden name in the surnamevfield. --Paulmd199 21:25, 12 July 2012 (UTC)
- Q2: Sorry, but I am still not sure what you mean. Are you saying to key the Spouse's Surname field using the Maiden name on the image (usually shown in parentheses or quote marks)? If so, may I suggest the following wording for the rules on Maiden names:
- When keying a female spouse, key a Maiden Name (usually shown in parentheses or quote marks) as the Spouse Surname; if no Maiden Name, then key the surname shown.
- When keying a female primary person, key the Maiden Name as Alias Surname, and key the surname shown as the Surname.
- Q2: Sorry, but I am still not sure what you mean. Are you saying to key the Spouse's Surname field using the Maiden name on the image (usually shown in parentheses or quote marks)? If so, may I suggest the following wording for the rules on Maiden names:
--Collier smith 02:53, 13 July 2012 (UTC)
- A. Yes, that's correct. --Paulmd199 02:59, 13 July 2012 (UTC)
Q: For death years a la "d. after 15 Nov 1760", is the listed date considered the "latest", even though it technically begins the range? (Likewise for birth years a la "b. before 3 Jun 1705"?)
- A: Since there is no other date use the one listed. --Paulmd199 21:25, 12 July 2012 (UTC)
Q: If both parents given names are listed, for example (dau of John and Mary), should "John and Mary" be keyed? or is preference given to one over the other?
- A: Key only the first listed. --Paulmd199 23:04, 12 July 2012 (UTC)
Q: If there is no surname, for example if Jane SMITH is the entry and the parents names are listed as (John and Mary), should the surname SMITH be used or leave it blank?
- A: Omit the surname in this event. --Paulmd199 23:06, 12 July 2012 (UTC)
Q: The page I am keying does not seem to give birth dates. However, it gives death dates and exact age at death (years, months, days). Should I calculate back using those ages and enter birth dates based on that?
- A: We would never calculate dates. -- Wiedwoman 23:27, 12 July 2012 (UTC)
Q: I have an entire page of FOOTNOTES. Do I key the names and info in them, or pick Cover Page?
- A: We are not keying footnotes. So your image would be a cover page. --Paulmd199 23:31, 12 July 2012 (UTC)
Q: I have sets that appear to be entirely index pages. The first set I marked as cover pages and submitted now I have 2 more sets. Are they cover sheets?
- A: Index pages are cover pages in this project. --Paulmd199 00:57, 13 July 2012 (UTC)
Q: For sections labeled, e.g. "Bradford Deaths, Plymouth VR" or "Alden Deaths, Duxbury <Church Records>", should the place in the header be carried down to be entered as the place of death for all of the listed people?
- A: No. Only surname is mentioned in the instructions as data that can be carried down from one line to another; and those lines are typically indicating the source of the data rather than actual place of death, and thus should be treated as if they were in angle brackets. -- Kateshort2 03:48, 16 July 2012 (UTC)
Q: Similar to the "daughter" entry in the above example, one of my keying records lists "child" with no last name but with birth and death dates. This entry follows several child entries but there is no parent entry (all children have a last name of Clark). Should I enter this "chid" entry? If so, should I include the Clark surname, even though that name is not on this record and all other children are entered as Self (per above instructions)?
- A: Yes, the instructions for surname state that, "If the surname is blank, copy down from the previous surname." --Katerimmer 22:50, 23 July 2012 (UTC)
