Common Keying Errors Found by Reviewers
Pauper's name mentioned followed often by spouse and children. Many keyers do not key the additional names/information.
Wrong form type
Keyers choose 'Image with no data' when there is clearly data on the form. Usually 'Cover Page ...' or 'Documents and Registers' should be selected. EXAMPLE: Sometimes there are 2 images for Removal Orders. The first image is the left hand side of the page and is Form Type 'Document and Registers'. The second is the right hand side of the page and gives details about the removal. So it can't be 'Image with no data'. It has to be Form Type 'Cover page ... etc'; ie there is no data that can be keyed into the required fields BUT there is extra information there for the researcher. As far as I am aware choosing Form Type 'Image with no data' means that the image won't even be included in the final collection of images for this database. Problems interpreting handwriting
If you have trouble working out a name or date or age - have a look at the following images in the image set. The names/information is often repeated within the set. Or 'close the image set' rather than 'submit the image set' on completion. Then work on the next image set. If they are sequential sets then the same individual/s may be mentioned in this second set.
Don't calculate age
Don't calculate age (in years) from event date/birth date. Only key the age when age stated on record. Read Field Help for guidance entering ages less than one year; ie 10/12 is 10 months.
Don't infer additional information that's not on the particular image you're working on; eg you may see the age of the individual written on images 1, 2, 3 but no age is recorded on image 4 (in the same image set). So don't include the age on image 4. Only record information that's written on the image you're working on.
Key name abbreviations as seen
If the image says Wm then key Wm - don't expand to William; ie 'key as seen' rule applies.
Key dates as seen
If the record shows 07 then key 07, don't expand to 1907. If the record shows 1907 then key 1907. Once again - the 'key as seen' rule applies.
Duplicate image form type
Select 'duplicate image' if there are two identical images within the SAME image set. If you see an image in your current image set that you've seen before in a PREVIOUS image set, don't use 'duplicate image'. Use 'Documents and Registers' and key the information you see.
Don't create new sections
For this project we DON'T create a new section for the image on the right hand side of the page. Key all the records in Section 1. Q1: I have an image which is a typed list of Reference Numbers, Record Types (all Register of Settlement) and date ranges. What do I do with it, please? -- Katerimmer 10:14, 3 November 2011 (UTC)
A1: Without seeing the image I am not 100% sure, but it sounds like this might be an index.
Q2: Do we key the names of the husband who has deserted, uncles and aunts, neighbours etc?
A2: My view on this is yes. If any further named people appear in the record and have some relevance to the person it should be indexed - However - These are my thoughts only!!! See Q3/A3 below.
Q3: Do we key the names of relatives listed in the additional information written about the person listed in the register? These relatives are not involved in the removal or settlement - they just happen to be referred to in the person's summary information.
Q4: The set that I have has preprinted columns, several of which give event dates. The field help is unclear what to do when there are multiple dates per person. Do we just use the earliest date per person?
A4: The Wiki for Event Date now has this sentence added: - If there are multiple dates on the record use the Date of Order of Removal if present or the first date given. The first date given is the first date you encounter on the record.
Q5: How do we key in where the surname is given then it say properly and gives another surname? eg Mary Smith properly Black the one I have is only 4 so not a maiden name.

Q6: I have images that are continuing pages of the same document (a deposition). Page 2 refers to a date given on page 1 (the "aforementioned" date of the deposition), but does not repeat the date. Should I key in the date from page 1, even though it does not appear on page 2?
A6: Leave date fields blank. Don't infer information from one image to another.
Q7: I have come across some data that are letters or small 'notes' written on headed paper which do include a pauper's name but I am unsure as to what to classify them as?
A7: Sounds like 'Cover Page, Section Header ...' form type.
Q8: Re Q7/A7: With letters and notes which do contain a pauper's name, I've been using form type "Documents and Registers" and keying in the name(s) they contain. I've only been using form type "Cover Page, Section Header, etc" for letters and notes which don't contain any names, but which are still relevant/of interest. A8: Difficult to say without seeing an image. Sounds as though either 'Documents and Registers' or 'Cover Page, Section Header, etc' could be used. As long as the data is captured for the index ..
Q9: I have an image with this title at the top. 'St Olave's Union. Register of inmates of Swan Oak School, Swanley, Metropolitan Asylums Board'. The fields in these records are Surname, Christian name, Age, Parish to which chargeable, Institution from which sent, Degree of relationship (ie father, mother etc), Relatives name and address, Date of admission and discharge, Reason for discharge. Are we keying these types of inmates registers?

Q10: Re Union/Parish Field The Field Help is clear when there is mention of 'Parish Removed From' and 'Parish Removed To' - ie we are told to key the 'Parish Removed From' information into the Union/Parish field. However, what happens when this field - 'Parish Removed From' is blank but there is a parish mentioned in the 'Parish Removed To' field. Do we key this parish in the Union/Parish field?
A10: If there isn’t a record of the parish/county that the removal is originating from please key the destination parish/county. We are adding text to make this more clear. Q11: Re Images round the wrong way? What do I do to see the details?
A11: Use the tools in the keying tool to 'rotate clockwise' and 'rotate counterclockwise' until you can see what's actually written there; ie IMAGE (menu) drag down to 'Rotate Clockwise' or 'Rotate Counterclockwise' - as required.
