Common Keying Errors Found by Reviewers
Periods (full stops) after initials should not be keyed even if these appear in the image (this is a general exception to the "key as seen" rule).
Don't carry over information from one image to another. So, if the Township and/or County are blank at the top of the image, don't use the Township or County from a previous Title page.
Only required fields need to be marked blank (Cntl-B) if blank. All other fields can just be left blank if no information to key.
It is not necessary to create blank records in the middle of keying records. If the form has blank lines, just ignore them and key the next record. The number of records you key should match the count at the bottom of the image (if present).
Check the column headings to make sure that it's the person's name, not their address.

Q: I have a page titled "Affidavit of Assessor". It has the names of the county assessor and the county clerk and a date. Would these names and date be keyed as part of the census or would the form be considered a cover page, section header?

Q: I have a set of census data, without a location, just a date. What should I put in for township and county?

Q: There are company-owned farms. How should these be entered? Skipped?
- A: Yes, key the business name. Since there is not a business name field key the business name in the Given Name field. Business names such as Jones and Son should only be keyed as a business - do not key a separate line with the surname Jones.

Q: Do we key multiple instances of the same name or do we key each unique name on am image only once?
- A: If you encounter a name multiple times on a record only enter it once.
Q: Do we enter the Parents and guardians in Schedule 4, "Deaf Mute, Blind Idiotic and Insane?"

Q: In keying my first image set, I found several pages where the text was so badly faded they were unreadable. What's the correct way to key such forms?
- A: If you are able to work through them you may do so. Account for each line. If you feel they are beyond you, cancel them with problems. Directions are here. --Paulmd199 18:38, 24 January 2012 (UTC)
Q: Is "Est" really a surname (it is on the drop down list)? It has appeared twice so far on the census list, eg Ackerman Est. and Swenson Est. How should we treat this?
- A: I believe in this context it is short for estate. In which case "est" would be dropped. --Paulmd199 06:20, 30 January 2012 (UTC)
Q: I have an image set which consists just of lists of names. Sometimes they use dittos for the last names for people in the same family, and sometimes they go on to the next page (image). Should I mark [Blank] or get the last name from the page before?
- A: Since this project does not have a specific instruction to carry over surnames from the previous image, you should use [Blank] for the surname of those people. --Kateshort2 21:48, 29 January 2012 (UTC)
Q: I have an image set which consists of lists of names grouped into families. The first one or two people in the family have the forename and surname written in full but other members of the family just have a forename. There are no ditto marks after the forename but the scribe has left a blank line between each family group. Do I enter the surname for everyone who is obviously in the same family group or do I mark the field as blank? Thanks!
- A: I've found the answer on the message boards: treat them the same as if dittos were written ie enter the surname for every person in an obvious family group except where the group goes over two pages. In this case the surname needs to be left blank.
Q: I just wanted to make sure that everything gets keyed as seen. For instance, if a name is probably Patricia, but the 't' is definitely NOT crossed and looks like an 'l', we key it as Palricia. Is this correct?
- A: Handwriting interpretation is a black art. To use a cliché, not everybody dots all their Is and crosses their Ts. In fact, in some styles, the t is never crossed, there are other methods of distinguishing it from l. He probably actually wrote a t. --Paulmd199 17:59, 6 February 2012 (UTC).
Q: Since the project is "Kansas, City and County Census", and there are some forms that are preprinted with "____ City, ____ County" instead of Township, can the project wiki instructions be amended to specify that City data should be entered in the Township field when City is on the form instead of Township?

Q: I have a page that has names on it but it has been marked ERROR. do i still key the names?

Q: The image set I'm working on contains entries from Oklahoma mixed in with Kansas. Should I skip these?

Q: I am working on the 1943 Kansas census and I'm seeing military ranks on several people. Do we key those? I'm also seeing soldier and pvt in parentheses after some names. Do we key those anywhere? I asked the question on the message board and they suggested I ask the question here.
- A: The official answer from Support is that unless the prefix field specifically states to key ranks as prefixes, then they are not keyed. Which means no ranks in this project. --Paulmd199 17:53, 11 April 2012 (UTC)
Q: I am working on the Kansas, City and County Census and some of the pages just have Population March 1, 1953 at the top and then each name is listed with different cities. Using the census form there is the place to put township, etc for the header and then it just asks for names but there isn't a place to put the different cities or ages. How should I key this in?
- A: You will only key the county and city from the heading information at the top of the page. There is no field for age, so it will not be keyed. -- Wiedwoman 18:32, 13 May 2012 (UTC)
Q: When keying for the Agriculture census for 1944, the Ag. Census has data for the previous year (1943). Do i key the year as 1943 or 1944?

Q: Some of the images I have seen are definitely Census Pages; however, the only information is the date (i.e. March 1, 1956) with no names listed. Should these be keyed as a census page (and accepted with no data) or keyed as a blank page?
- A: Mark then as 'image with no data' if there is nothing but the date listed. -- Wiedwoman 16:40, 30 May 2012 (UTC)
Q: In this set, there are several cases where a woman is listed as just "Mrs" (as in "Mrs Smith). Would it be appropriate to fill in the Given name as [Blank] or would it be more appropriate to enter in the husband's name there (as in "Mrs Joe Smith")?
