Common Keying Errors Found by Reviewers

Please do not use 'blank' (control+b) for prefix or suffix. Please use 'blank' for missing given name and/or missing surname.

Please check to see if an image has more than one page on an image. If so, key ALL pages.

Do not key "Mrs" when it says "his wife". Only key Mrs if "Mrs" is written in the document.

Do not create a new section when the year is the same. Only create a new section when the year changes.

Key all names on the images, including the names of previous owners, property owners adjacent to lands, the notary and the recorder but key these names only once per image. The only exclusion are business names even if the business name includes a given name such as "George M McCall Company".

Question: Names - We do not key names that are part of a business name, ie, Robt Jones Loan Company, but what about these examples - George Hanson, Attorney at Law or Wilson and Jackson, civil engineers and surveyors?

Question:Dates - I have a deed that was executed and notarized in 1929, but not recorded until 1936. Which date would I key?

A: WAP says the year of the deed would be 1929 in this case.
The Message Board had this item recently: PeetaH88 Posted: 2 Jan 2012 9:25PM The simple rules below on which year to use (from Oct Nov messages) written by :louisegiles111, make this clearer:
1. If there is a "this indenture made..." etc, date, use that.
2. If no "indenture made" date, use the notary date.
3. If neither of the above, use recordation date.
4. If none of the above, mark date blank.

Question:DataSets -  I have downloaded and tried two data sets. I am really confused since the set is not one complete document. It appears to be two incomplete documents. What in the world do I do with that?

A: All sets will not start at the beginning of the deed. Key what names you see. Sometimes the deed will be one, two or more pages. If there is a date at the end of that deed, key that date. 

Question: NAMES - Are we to key the names of attorneys, notaries, recorders, etc., or just parties named in the deeds?

A: Yes, we are to key every name found on the record (but only key each name once per image)

Question:  NAMES - Are we to key the names of adjacent landowners found in the legal description of the property?

A: Yes, key all names on the record.

Question: Multiple Names and Multiple Dates on same image set - How do you handle multiple dates and the same name appearing under multiple dates on the same image set? Key the name once on each section with different date where it appears??

A: If the name of an individual appears multiple times on the record key it only once, in its most complete version. (Use the various versions of the name to come up with the most complete version.)

Question: Names I have an deed where a person's name is listed and then "(Colored)" follows. I don't think that should be keyed as a suffix but I wanted to make sure before I finish keying the image.

A: No, you're correct, we would not enter that as a suffix.

Question: Maiden Names How are we supposed to key maiden names? For example: Mary Jones now Smith or Mary Smith formerly Jones.

A: When there is not an Alias or Maiden name field the Keying Standards state to key only the maiden name.

Question: Company Names I know that we are to key the names of every person on the pages, and I have been doing that. I'm not certain, though, if in the case of a company name that is based on a person's name, like A.J. Paul company, do we key that name? The person representing the company has a different name.

A: No, the company names should not be keyed.

Question: More than one deed on a page -  If more than one deed is listed on an image and the year remains the same, do we key all of the names on both deeds in one section or in one section per deed?

A: One section. (i.e. if the year on all the deeds 1899 then you only need one section. If the years on the deeds are 1899, 1900 then you would make a section for each year.)

Question: More than one date on an image - Often, several years appear on the same image. Some of these years appear to refer to the date the original owner bought the property. I ignore these dates and enter the year the transaction was recorded. Is this correct?

Question: Also known as (AKA) - When an AKA is listed which surname should be entered or should both surnames be entered?  For instance, [Etta burrows (also known as Etta Burris)]

A: There are no alias fields in this project, so AKA or alias names would not be keyed. -- Wiedwoman 06:24, 16 February 2012 (UTC)

Question: Names Does the order of the records (aka names) matter in this project?

A: You should be keying down the left page and then down the right page. But if they're reversed, they can be corrected in review. -- Wiedwoman 15:56, 18 March 2012 (UTC)

Question: Same person, two spellings If a name is repeated, but spelled differently, should both spellings be entered (thereby entering that person twice)? Or am I supposed  whichever spelling I think is correct? (In the specific document I'm working with, Cassandra is mentioned throughout the document, and then her signature is at the end as Casandra - with just one 's.')

A: Only key one record per person. Use her signature as the name. -- Wiedwoman 15:56, 18 March 2012 (UTC)

Question: How do we key such an example? "Irvin Schroder & wife" Would it be Irvin Schroder on one line and (Blank) Schroder on the next one if her first name is never mentioned in the image set page?

Question: In the case of a woman's name such as Sarah May Kent Bradley, do we assume Kent to be the maiden name and key it in the surname field or do we key Sarah May Kent as the given name and Bradley as the surname? (Since there is no field for maiden names.)

A: I would key her name as Sarah May Kent as given name and Bradley as the surname. -- Wiedwoman 15:00, 4 May 2012 (UTC)

Question: I just read through an image with two pages of a deed that did not list a name or date anywhere throughout. How would I key that to indicate that there were no names or dates within that image?

A: If there are no names or a date on the image, I think it would be classified as a cover page. -- Wiedwoman 17:42, 20 June 2012 (UTC)

Question: Names - I am keying an image that is a typewritten transcription of a deed.  The person who typed the transcription could not read the surname of the witness and typed the witness name as "John L. Not Legible."  Do I key Not Legible which is what is actually written on the image (key as seen) or do I use the "Mark field illegible" button?
    A: As it is not an actual name this would be a case of common sense overriding the key as seen rule, so mark it illegible as stated.

Date of Deed and Prefix Errors

!. Keying a prefix such as Miss, Mr. or Mrs. when it is not Written in the document. 2. Starting a new section for every date found in the deed. The date of the Deed is most often found in one of three places: A. At the beginning, ie, "This Indenture made the tenth day of February 1920" or B. At the end in the Notary's statement which usually begins "Be It Remembered...." or C. At the recording date "Received for Record February 10, 1920" at the very end of the Deed.(It is not the date the Recorder's term expires.) Tengen3 7/20/2012
